Office Co-ordinator

The Stage Media Company Ltd, based in London Bridge, is dedicated to providing up-to-date news and services for the UK’s theatre, performing arts and book publishing industries with two key titles: The Stage and The Bookseller. Both The Stage and The Bookseller are established leaders within their respective fields, offering industry news, authoritative reviews/interviews and insightful features.
Why this role is important:
The Stage Media Company is looking for a part-time (4-days a week), temporary Office Co-ordinator for a 6-month, fixed-term contract to deliver a professional, welcoming and efficient front-of-house and office management service, ensuring that employees, visitors and customers receive excellent support. This role will also assist with the smooth running of facilities and office operations, liaise with key suppliers and support internal teams with day-to-day administrative tasks.
This role will play a vital role as the key liaison between the company and its outsourced finance provider and support customer service, sales and editorial where required.
What you will do:
Front of House
Provide a friendly, professional reception service to visitors, callers and employees.
Manage incoming calls and general email enquiries, ensuring timely and helpful responses.
Welcome and check in visitors in line with company procedures.
Meeting Rooms & Office Upkeep
Oversee meeting room bookings via Outlook and support staff with arrangements.
Ensure meeting rooms are tidy, presentable and AV equipment is functioning.
Co-ordinate catering for meetings and small events where required.
Facilities & Supplier Administration
Manage day-to-day office operations, ensuring a clean, organised and professional working environment.
Act as primary contact for cleaners, building maintenance providers and other suppliers.
Manage building access, including key and security pass issuance and returns.
Act as the liaison between the company and the ground-floor tenants.
Liaise with office suppliers (cleaners, maintenance, window cleaners, equipment providers) to ensure a smooth and safe office environment.
Maintain the staff telephone list and other basic office documentation.
Support with logging and tracking maintenance issues, arranging callouts and keeping accurate records.
Manage incoming and outgoing post, courier bookings and deliveries.
Maintain stationery and office supplies at appropriate levels.
Serve as the company Fire Marshal, responsible for fire safety protocols, testing, drills and documentation.
Maintain compliance with all health & safety legislation and ensure company policies are up-to-date.
Conduct office risk assessments (including DSE assessments and assessments for returning employees or specific needs).
Monitor and address any building risks such as hazards, lighting issues or maintenance concerns, ensuring timely action and accurate record-keeping.
Induct new employees on health & safety procedures and provide regular updates as needed.
Coordinate first-aid provision, ensuring staff are trained and supported.
Support the proper securing of the building through coordination with cleaners, keyholders and security providers.
Finance & Sales Support
Act as the liaison between the company and its outsourced finance team, ensuring information flows accurately and promptly.
Process petty cash claims, staff expenses and basic invoice checks.
Distribute invoices or finance-related queries to the appropriate internal contacts.
Support commercial teams by chasing and uploading ad copy and banner adverts as required.
Customer Service Support
Assist with basic incoming customer enquiries (email, phone) and escalate more complex queries to the relevant team member.
Support subscription processes such as order updates or delivery queries under guidance from the Head of Customer Service.
Provide holiday cover to the customer service team
Editorial & Internal Team Support
Support the editorial team with booking travel and accommodation when required.
Co-ordinate materials for reviewers and previewers.
Assist with arranging internal and external meetings, such as publisher briefings.

Other information:
This role is paid at London Living Wage. The salary advertised will be pro rata based on the length of the contract.
Normal working hours for this role are 8.30am - 4.30pm Tuesdays to Fridays, with occasional evening or weekend work to cover events, if needed. This role is office-based at The Stage Media Company's office on Bermondsey Street, SE1.
